Privacy Policy
Effective Date: 2/16/25
Last Updated: 10/10/26
Version: 2.3
1. Who we are
Alfie ("Alfie," "we," "our," "us") is an AI calendar assistant at helloalfie.ai, developed by Moxi-Kaizen, a company operating out of California. You tell Alfie who you want to meet and when, and Alfie finds the right person, checks availability, and books the meeting in your Google Calendar. This policy explains what information Alfie collects, how we use, store and share it, how long we keep it, and the choices you have. It applies to the Alfie website, the web app, and Alfie by text message.
2. Google user data Alfie accesses
You sign in to Alfie with your Google account. Google asks you to approve each permission below, and you can revoke them at any time. Alfie accesses this data only to provide the features you use, and only while you use them.
Basic profile (openid, email, profile)
- • What we access: your name, email address and profile photo.
- • Why: to create your account, sign you in, show your name and photo in the app, and identify you as the organizer of the meetings you book.
Google Calendar (calendar)
- • What we access: events on the calendars you can access (times, titles, attendees and free/busy information).
- • Why: to find times when you and the people you're meeting are available, to create, update or cancel the events you ask Alfie to manage, and to send the meeting invitations through Google Calendar. We also look at attendees of your recent and upcoming events to recognize the people you meet with.
- • Alfie only creates, edits or cancels events when you ask it to.
Google Contacts, read only (contacts.readonly)
- • What we access: names and email addresses in your Google Contacts.
- • Why: to find the right person when you ask Alfie to meet with someone by name. Alfie never adds, changes or deletes your contacts.
"Other contacts", read only (contacts.other.readonly)
- • What we access: names and email addresses that Google saves automatically in your "Other contacts" (for example, people you have emailed).
- • Why: to find people you correspond with who aren't in your main contacts.
Google Workspace directory, read only (directory.readonly)
- • What we access: names and work email addresses of people in your organization's Google Workspace directory (only if you use a Workspace account).
- • Why: to find coworkers by name and to schedule team meetings.
Optional: email search (only if you choose Connect Gmail)
- • If you turn on "Connect Gmail" in Settings, Google asks you separately for permission to read your Gmail. Alfie uses it only to read the From, To and Cc lines of your emails to find people you have emailed with.
- • Alfie never reads, stores or shares the content of your emails, and never sends email from your account. This option is off unless you turn it on.
3. Other information we collect
- • Your conversations with Alfie: the requests you type or text and Alfie's replies, saved as your chat history so you can refer back to them.
- • Meetings Alfie books for you: the event details (title, time, attendees) and a record that Alfie booked it, so we can show your history and confirm what was scheduled.
- • Preferences Alfie learns: for example your preferred meeting length, times of day or locations, so Alfie can schedule the way you like. You can view and delete them in Settings under Alfie Brain.
- • Phone number and text messages (optional): if you connect your phone to use Alfie by SMS or WhatsApp, we store your number, a one-time verification code (briefly), and the messages you exchange with Alfie.
- • Friends and teams: the people you connect with or invite, their email addresses, pending invitations, and the calendar-sharing level you choose for each friend or team.
- • Booking links: if you create a public booking page, its settings and your availability window, plus the name, email and chosen time of anyone who books with you through it.
- • Feedback you send us (including screenshots, and the conversation if you choose to share it, see section 6), and waitlist sign-ups.
- • Usage and technical data: pages and features used, errors, device and browser type, and log data such as IP address, used to run, secure and improve Alfie. Prompts we analyze to improve Alfie are stored with personal details (like names and email addresses) removed and your account ID replaced by a one-way hash.
- • Which link brought you here: if you arrive by a tagged link (for example one we shared on LinkedIn), we keep the link's tags and a random visitor ID in a cookie for 90 days, so we can count which links lead to sign-ups. It isn't used for advertising or shared with anyone.
- • Sign-in tokens: Google issues access tokens so Alfie can act on your behalf; we store them securely and use them only for the features above.
- • Claude connection (optional): if you connect Alfie to Claude, we store a record of that connection and the tokens Claude uses to reach Alfie on your behalf. Disconnecting in Claude, or deleting your account, removes them.
4. How we use information
- • To provide Alfie's features: finding contacts, checking availability, booking and managing meetings, sharing availability with friends and teams you choose, booking pages and text-message access.
- • To send the emails you ask for, such as friend and team invitations (sent from Alfie on your behalf, with replies going to you).
- • To keep Alfie secure, prevent abuse and fix problems.
- • To understand how Alfie is used and improve it, using de-identified or aggregated information, and anything you choose to share with us (see section 6).
- • To communicate with you about your account and respond to support requests.
We do not sell your information, and we do not use Google user data for advertising, including personalized or interest-based ads.
5. AI processing
Alfie uses AI models to understand your requests and plan your meetings. To do this, the relevant parts of your request and the Google data needed to answer it (for example, the names and email addresses of the people involved and your free/busy times) are sent to the AI model that generates Alfie's response, through Vercel's AI Gateway. Alfie currently uses Claude, made by Anthropic. This happens only while Alfie is answering you.
Using Alfie from Claude (optional). You can connect Alfie to Claude, the AI assistant made by Anthropic, as a connector. Once you do, when you ask Claude something that uses Alfie, Alfie sends Claude the information needed to answer that request: for example your events and free times for the days you asked about, contacts matching a name, a friend's availability at the level that friend chose to share, or when your teammates are busy. Claude can also create, change or cancel events, and create teams or invite people to them, when you ask it to. Alfie only sends this in answer to your requests, and Anthropic handles it under its own terms and privacy policy. You can disconnect at any time in Claude's connector settings.
We do not use Google user data to develop, improve or train generalized AI or machine learning models, and we do not permit our AI providers to use it for that purpose.
6. Helping improve Alfie (optional)
There are two optional ways to help us find where Alfie gets confused and fix it. Both are off unless you turn them on.
- • Share this conversation: when you give one of Alfie's replies a thumbs down, you can tick a box (it starts unticked) to send the conversation with your report. We save a text copy of up to the last 12 messages, ending at the reply you flagged. Before saving, we replace your name with "[me]" and remove email addresses, phone numbers and full names we can detect. Cards Alfie showed, like meeting details or contact lists, aren't copied. Alfie's replies in the copy may still mention things you asked about, like a meeting's title or time.
- • Help make Alfie smarter: a setting in Settings, under Profile (we may also ask you once after a booking). While it's on, what you type to Alfie is shared with our team, with email addresses, phone numbers and full names we can detect removed, and your account ID replaced by a one-way hash. It never includes your calendar, contacts or other Google data.
- • Only Alfie's administrators can see what you share, and only to fix and improve Alfie. We don't use it to train AI models, and we don't sell or share it.
- • What you share is deleted after 90 days. If you turn Help make Alfie smarter off, we delete what you shared through it right away. To delete a shared conversation sooner, email us.
7. Google API Services: Limited Use
Alfie's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular, we only use Google user data to provide and improve the user-facing features described above; we don't transfer it to others except as needed to provide those features, for security, to comply with law, or as part of a merger or acquisition with notice to you; we don't use it for advertising; and humans don't read it unless you give us permission (for example, when you ask for support or share a conversation with a thumbs down, see section 6), it's needed for security or to comply with law, or it has been aggregated and anonymized.
8. How we share information
We share information only as needed to run Alfie, with these service providers, who process it on our behalf:
- • Google: sign-in, and the Calendar, Contacts and Directory features you use.
- • Vercel: hosting, and the AI Gateway that connects Alfie to its AI model.
- • Anthropic (Claude): the AI model that interprets your requests, reached through Vercel's AI Gateway (see section 5).
- • Neon: our database.
- • Upstash: temporary caching and rate limiting.
- • Twilio: text message and WhatsApp delivery, if you use Alfie by text.
- • Resend: delivery of the invitation emails you ask Alfie to send.
- • PostHog: product analytics.
We also share information with the people you choose to: for example, meeting details with the attendees of events you book, availability with friends and teams at the sharing level you set, your name with people you invite, and the information Claude needs to answer you if you connect Alfie to Claude (see section 5). We may disclose information if required by law or to protect the rights and safety of our users and others. If Alfie is involved in a merger or acquisition, we will notify you before your information becomes subject to a different privacy policy.
9. How long we keep information
- • Google data read from your calendar, contacts and directory is used to answer your request and is not kept as a copy, except where it becomes part of your chat history or a meeting record described above.
- • Account information, chat history, meeting records, preferences, friends, teams and booking pages are kept while your account is active, and deleted within 30 days after you delete your account or ask us to delete them.
- • Sign-in tokens are deleted when you disconnect Google or delete your account.
- • Verification codes expire within minutes. Rate-limit and security records are kept only as long as needed for those purposes.
- • What you share to help improve Alfie (section 6) is deleted after 90 days, or sooner as described there.
- • De-identified analytics may be kept longer to improve Alfie.
10. Your choices and rights
- • Access, correct or delete your information: email us and we will respond within 30 days.
- • Delete your account: email us and we will delete your account and associated data within 30 days.
- • Revoke Alfie's access to your Google account at any time at myaccount.google.com/permissions. Alfie will stop accessing your Google data immediately.
- • Turn email search (Connect Gmail) off by revoking access as above.
- • Stop text messages by replying STOP, or email us to disconnect your phone number.
- • Turn Help make Alfie smarter off at any time in Settings. We delete what you shared through it right away.
- • Depending on where you live (for example California or the EU/UK), you may have additional rights, such as to know what we collect, to data portability, or to object to certain processing. Contact us to exercise them.

11. Security
We protect your information with encryption in transit (HTTPS), access controls that limit who can reach production data, and providers that encrypt data at rest. No online service is perfectly secure, but we work to protect your data and will notify you as required by law if a breach affects it.
12. SMS messaging and consent
If you provide your phone number and explicitly opt in, Alfie may send you SMS or WhatsApp messages related to your scheduling activity, including booking confirmations, reminders, updates, rescheduling notices and cancellations.
- • SMS consent is optional and is not required to use Alfie.
- • Message frequency varies based on your scheduling activity.
- • Message and data rates may apply.
- • You can opt out at any time by replying STOP. Reply HELP for help, or email us.
- • We do not share your phone number or SMS consent with third parties for their marketing.
13. Children
Alfie is not intended for children under 13, and we do not knowingly collect information from them.
14. Changes to this policy
If we make material changes, we will update the date above and notify you in the app or by email before the changes take effect.
